Company knowledge base: rules first, then tools
For AI to answer questions about your company, the company's knowledge first has to be organized in a form AI can read. Do it in the wrong order and even the best tool just moves the mess somewhere else.
What you'll notice
- A new hire's question interrupts three senior people, and their answers often contradict each other.
- The same process exists in several versions in the knowledge base.
- Searching the knowledge base for "password" returns results.
Where it usually gets stuck
- Knowledge exists only in people's heads and chat logs. When someone leaves, it leaves with them.
- The same fact lives in three places, and two of them will eventually be out of date.
- Without automatic validation, quality depends on discipline, and discipline doesn't last three months.
How we fix it
We look at how your team actually works before deciding what to change and with what. These are the methods this kind of problem usually calls for. Automation, AI and custom code are tools among them.
- Each fact lives on one card. A duplicate is a future contradiction, so cards reference each other instead of copying.
- Confidential items are stored as pointers, not content: the knowledge base never holds a password, only where it is kept and who to ask for access.
- The sections of the knowledge tree become future permission boundaries. When AI Q&A is added later, who can ask about what is already settled.
How we check it worked
- Structured formats plus automatic validation (schema checks, broken-link scans), so the system enforces quality instead of relying on discipline.
